Model Center Appointment Request Internal Workflow
This article will detail the workflow that Hubspot follows when a prospective buyer requests a Model Center Appointment.
When a prospective buyer submits a Model Center Appointment Request through our Website or QR Code, our system within Hubspot will take the following actions.
Notification:
Depending on the location of the Model Center Appointment request, the Sales Representatives for that Model Center will be notified by the native notification center within Hubspot (fondly known as "the bell"). The notification can be clicked on to take you to the contact record associated with the notification or task.
Task:
In addition to the notification, a task will be assigned to follow-up with the individual requesting a Model Center Appointment.
- The System will check to see if the contact is already in the system.
- If not, it will create a brand new contact record and run them through a few workflows to position their contact record appropriately for our purposes on the Sales team as well as set them up for our Marketing team.
- If the contact is within the system already, it will check for a Contact Owner.
- If the contact has already been assigned to a member of the Sales Team, the task to Schedule their Model Center Tour will be assigned to that member of the Sales Team and placed in the Task Queue with the corresponding office (i.e. Copper River, Belterra, Estates)
- If the contact does not have a contact owner, the task will remain unassigned and be placed into the Task Queue with the corresponding office.
